Job Description
Job Summary:
The Office Manager will be responsible for ensuring the smooth operation of the office, supporting construction staff, maintaining accurate documentation, handling accounts and payroll coordination, managing supplies, and assisting in general administrative tasks. Knowledge of construction industry practices is preferred but not mandatory, excellent communication skills, and the ability to multitask effectively.
Key Responsibilities:
️ Office Administration
Manage daily office operations and workflow
Maintain filing systems (physical and digital) for project documentation, contracts, invoices, etc.
Order and manage office and field supplies
Liaise with vendors, suppliers, and service providers
Project Support
Assist in preparing bid packages, submittals, RFIs, and change orders
Must have an accounting background and be able to handle payroll
Track and manage project documentation (contracts)
Coordinate with suppliers as needed
Maintain construction logs
Financial & HR Support
Support basic bookkeeping functions (invoice tracking, expense reports)
Must have an accounting background and be able to handle payroll
Coordinate with accounting/payroll departments
Track time sheets and attendance records
Assist with onboarding new hires and maintaining HR records
Communication & Scheduling
Answer phones and emails; act as point of contact for office communication
Maintain calendars for key staff and project milestones
Qualifications:
Proven experience as an Office Manager, Administrative Assistant, or similar role (construction industry preferred)
Strong organizational and time management skills
Excellent written and verbal communication
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace
Familiarity with construction software (e.g., Procore, QuickBooks, Sage, or similar) is a plus
Knowledge of basic accounting and HR processes
